Project controls case study
An evolving control loop for deciding when AI-assisted work is ready to use.
I use it to establish what is trusted, what has been checked, and whether to approve the result.
01 / Problem
AI can accelerate analysis and drafting, but speed does not establish that an output is ready for its intended purpose. When the trusted source, document status, or approval condition is unclear, a polished result can carry forward hidden errors, missing context, or unsupported claims.
I treat that ambiguity as a project-control problem: I establish what is trusted, what has been checked, and whether an output is ready for its intended use.
The goal isn't to establish controls for their own sake.
It's to make clearer decisions before work is reused.
02 / Operating model
I retain the final decision about whether AI-assisted work is ready to use.

03 / Workflow
Together, the controls clarify what must be established, checked, decided, and preserved. Each stage asks a different question before work moves forward.
State the problem, intended use, and the decision the work needs to support.
Establish which information is trusted and what the work may or may not change.
Apply AI to defined analysis, drafting, or checking tasks within the established scope.
Review source use, status, integrity, and limitations in proportion to the consequence of reuse.
Approve, revise, defer, or hold the work rather than inferring readiness from completion.
Keep the output, decision context, and limitations available for later work and improvement.
The resulting record gives the next request a starting point.
04 / Practical use
The approach uses a small set of practical controls. Each one answers a question that otherwise might remain implicit.
Which information is reliable for this task?
Is this a draft, an approved working version, a historical reference, or ready for use?
What analysis, drafting, or checking is the AI authorized to perform?
Which checks need to pass before the work is reused, presented, or treated as current?
Should the work be approved, revised, deferred, or held?
What decision context and limitations should remain available for later work?
05 / Examples
Two examples show the controls at work: one recovers missing evidence; the other determines whether a revision is ready to use.
A question about a specific role reveals that a draft career guide lacks enough supporting detail.
Review the source material and later clarifications that may supply it.
Strengthen the draft without treating interpretation as evidence.
Restore the distinction between detailed evidence, qualified records, and reusable guidance.
See the Knowledge SystemCheck the current source and required approval before revising.
Make the owner-approved text change and synchronize the working text with the presentation version.
Review the visual snapshots and verify the current status before use.
Promote if the checks and versions align; otherwise, revise or hold.
06 / Evidence and limits
The evidence supports an internal set of operational controls.
